Scheduler Section

The Scheduler section of the application provides functionality to optimize your front-office and back-office workflow. Our state-of the-art module allows designated users to access several functions from within the scheduling program. The appointment scheduler can be easily customized to fit your needs in addition to configuring scheduling rules that will help maximize the physician's time.

The following help pages are supported by the current version of CollaborateMD. Please follow the curriculum outline to receive the proper training associated with this section.


Button Overview

Below you will find a description of the buttons located within the Scheduler section:
  • New Type: This button will allow you to add a new appointment type.
  • Show All: This button will allow you to view all appointment types within your system.

An appointment Type defines information about the services to be rendered during a scheduled visit. Appointment types can be as general or as specific as you need them to be. Examples of appointment types include new patient visits, stay-well visits, get-well visits, flu shots, immunizations, and more.

New Type

Follow the instructions below to add a new appointment type: 
  1. Go to the Scheduler section.
  2. Click on the Types tab.
  3. Select New Type.
  4. Enter the Type details:
    • CodeEnter an identification code that will help the office staff identify the appointment type at a glance. This code is displayed in the filter pane and when selecting an appointment type from the appointment window. 
    • Description: Enter a brief description about the appointment type. 
    • Length (min): Enter the appointment duration. 
    • Appointment Color: Select an appointment color. 
    • Icon Selection: Select an appointment icon. 
    • Disable automatic appointment reminders for this appointment typeIf your account has been enabled to use Phone Reminders, check this box to disable future phone notification calls that are related to this appointment type. Note: Once disabled, patients scheduled with this appointment type will not receive calls to remind them of their appointment
    • Global type (Appears in all departments): If you're using departments within your appointment scheduler, specify what appointment types can be scheduled for that department. Leave this checked if you want this appointment type to be included for all resources. 
    • Specify the hours of operation for this appointment typeCheck this box to specify the hours of operation for the appointment type. Specifying days and times will help manage your appointment scheduler to ensure appointments are being scheduled during business hours. Leaving this box unchecked means there are no restrictions when creating appointments for this appointment type.
      • Click on the Add button and to select a Day followed by the From and To hours. Continue clicking on the Add button until you've added all of the days and times for the resource.
      • To remove a day, click on the row you want to remove and then click on the Remove button.
  5. Once the details for the Types are entered, click on the Save button to save your changes. 

Find/Edit Type

Follow the instructions below to find/edit an appointment type:
  1. Go to the Scheduler section.
  2. Click the Types tab.
  3. Select Show All or search for the appointment type using the Search field.
  4. Select the type you would like to edit. 
  5. When you're satisfied with your changes, click Save.

Inactivate Type

Follow the instructions below to inactivate an appointment type: 
  1. Go to the Scheduler section.
  2. Click the Types tab.
  3. Find the appointment type you would like to inactivate.
  4. Check the box to Make this type inactive.
  5. Click Save.

Reactivate Type

Follow the instructions below to reactivate an appointment type: 
  1. Go to the Scheduler section.
  2. Click the Types tab.
  3. Check the box to Search inactive types.
  4. Find the appointment type you would like to reactivate.
  5. Uncheck the box Make this type inactive.
  6. Click Save.
