Control Section

The Control section of the application provides functionality to track claims that have been submitted, control and resubmit claims at a batch level, track patient statements, and control patient accounts receivable (AR). In addition, it provides the functionality for printing claims, statements, superbills and final demand notices (FDN) at a batch level. 

The following help pages are supported by the current version of CollaborateMD. Please follow the curriculum outline to receive the proper training associated with this section.


Button Overview

Below you will find a description of the buttons located within Batch Eligibility:
  • Search: This button will search for patients using the filter selections entered.
  • Check Eligibility: This button allows you to check eligibility.
  • Cancel Eligibility: This button will cancel your eligibility check.
  • View Results: This button allows you to view results in the results panel.
  • Select Columns: This button will allow you to set your display columns.

Our Batch Eligibility feature streamlines your registration process by submitting multiple requests to many carriers at one time. Before you can begin using batch eligibility, you must be configured with the provider. 

Find Patients/Payers

Follow the instructions below to find patients/payers to check eligibility for:

  1. Go to the Control section.
  2. Click the Batch Eligibility tab.
  3. Enter your search criteria. 
  4. When you're done, click on the Search button. 
    1. Saved Search Filter: Click on the magnifying glass to search for a saved filter or click on the save icon to save a search filter. 
    2. Reset Filters: Selecting this button will remove all preset filters. 
    3. Payer Name: Enter a payer or search using the magnifying glass.
    4. Eligibility CPID: Search for payers using the eligibility CPID.
    5. Payer search by: You must select at least one of the options when searching by payer.
    6. Search Criteria: Enter any additional search criteria. 
    7. Appointment Date: Select a date range to view appointments within that time frame. 
    8. Patient Follow Up: Select a date range to view patient follow up dates.
    9. Patient Recall: Select a date range to view the patient recall dates.

Check Eligibility  

Follow the instructions below to check eligibility for the patients/payers chosen:
  1. Go to the Control section.
  2. Click the Batch Eligibility tab.
  3. After you have searched for available patients, select which patients you would like to check eligibility for.
  4. Check Check Eligibility.
  5. The system will begin checking eligibility. You will be provided with a status next to each patient.

Cancel Eligibility Check

Follow the instructions below to cancel an eligibility check.
  1. Go to the Control section.
  2. Click the Batch Eligibility tab.
  3. After you have selected to check eligibility if you wish to cancel, select Cancel Eligibility. All remaining checks will stop.

Print Eligibility Report

Follow the instructions below to print your eligibility report:
  1. Go to the Control section.
  2. Click the Batch Eligibility tab.
  3. After you have checked your eligibility for the patients selected you will receive an eligibility report with the status of each eligibility check.
  4. You can print this report when it first appears by clicking Print. You can also print it by selecting View Report and selecting Print.

View Eligibility Results

Follow the instructions below to view your eligibility results: 
  1. Go to the Control section.
  2. Click the Batch Eligibility tab.
  3. After you have checked your eligibility for the patients selected you will be able to view your results. 
  4. Clicking on a patient and select View Results. This will open the results window below. This window contains 2 tabs: 
    • Eligibility History: Shows detailed information for each search performed. Right clicking on a highlighted row, opens the Eligibility Report. This report provides you with a list of the patient’s eligibility benefit information and what services the patient is eligible for. 
    • Benefits: Summarizes the patients benefit information in an organized view, providing you with detailed information such as copay, coinsurance, deductible information and much more.
