Codes

The Codes section allows you to add, edit and find CPT, HCPCS and Revenue codes. You can manually set a default price for each code or create a custom Fee Schedule. You can also create Diagnosis codes, credit and debit Adjustments, Remittance remark and adjustment reason codes, ICD Procedure codes and Inventory codes. Within the Codes section, you can also configure your insurance Contracts.

Button Overview

Below you will find a description of the buttons located within the Codes section:
  • New Inventory: Selecting this option will allow you to add a new Inventory code.
  • Show All: Selecting this option will show all codes in your database.

In order for Inventory Codes to be shown on the claims, you will first need to select the "Show inventory" default option within the System section. 

Add Inventory Code

Follow the instructions below to add an Inventory code:
  1. Go to the Codes section.
  2. Click on the Inventory tab.
  3. Select New Inventory.
  4. Enter your code in the Code field. 
  5. Enter the CPT Code you would like to associate with this Inventory code manually or by selecting the magnifying glass to search through your list of codes. 
    1. Important: When creating the claim, adding the inventory code will automatically populate the linked CPT code. 
  6. Enter the amount of product you have in the Quantity field. Note: When added to a new claim, this quantity is automatically decremented based on the number of units associated to the charge(s)
  7. Enter your Code Description.
  8. Enter the Billing Description. 
  9. If you would like to set up an alert for this code, select the box that says Use Alert.
  10. Enter your Alert Message.
  11. In the Display Alert When Quantity Falls Below field, enter the lowest number your product can reach for the alert to notify you.
  12. When you are satisfied with your changes, click the Save button.

Find Inventory Code

Follow the instructions below to find an Inventory code:
  1. Go to the Codes section.
  2. Click on the Inventory tab.
  3. Select Show All or search for the code using the Search field.

Edit Inventory Code

Follow the instructions below to edit an Inventory code:
  1. Go to the Codes section.
  2. Click on the Inventory tab.
  3. Select Show All or search for the code using the Search field.
  4. Select the code you would like to edit.
  5. When you are satisfied with your changes, click the Save button.

Inactive Inventory Code

Follow the instructions below to inactivate an Inventory code:
  1. Go to the Codes section.
  2. Click on the Inventory tab.
  3. Select Show All or search for the code using the Search field.
  4. Click the check box that says Inactive Code.
  5. When you are done, click the Save button.

Reactivate Inventory Code

Follow the instructions below to reactivate an Inventory code:
  1. Go to the Codes section.
  2. Click on the Inventory tab.
  3. Select the check box that says Search inactive inventory codes.
  4. Select Show All or search for the code using the Search field.
  5. Deselect the check box that says Inactive Code.
  6. When you are done, click the Save button.
