Downloading Data Snapshot Files


Data Snapshot is a service provided by CollaborateMD which takes current data such as, patient demographics, codes, appointments, payers, provider list, facility, charge, etc. and captures (exports) a snapshot of the data. The data can be exported into several hundred files in DAT (.DAT) format that is a tab delimited or into an open-source relational database management system (RDBMS) known as MySQL. Either option can be selected when requesting a data snapshot.


Data Snapshots can be requested as a one-time or as a recurring service within the Services tab of the Admin section.

Once the Data Snapshot is requested, all Auth Reps on your account will receive an internal message via the Messaging section with instructions on how to download the Data Snapshots.


Auth Reps can download Data Snapshots in the application through the Admin section.  Alternatively, Auth Reps, users, and third party vendors can download Data Snapshots exported as separate files per customer through our secure CollaborateMD Portal.

  • When sending and sharing Data Snapshots, it is the Auth Rep’s responsibility to ensure they are securely sending the data, keeping with HIPAA rules and regulations.

  • We highly suggest downloading recurring Data Snapshots daily, as you will NOT be able to recover snapshots from previous days. Data Snapshots are real time and reflect the data as it appears on the run date.

  • The snapshots will ONLY be visible after 6:00 AM EST of the scheduled date.

Follow the instructions below to download a data snapshot from within the application:


  1. Go to the Admin section and click the Services tab.

  2. Click the Download Snapshots button.

  1. Once the Data Snapshot window opens, click the Download button.

  2. When the Save dialog window opens, select a location on your computer where you wish to save this file.

  3. Once saved, locate the file and choose the application you wish to open with (e.g., Excel or Notepad.)

Once the Data Snapshot is requested, ALL Auth Reps on your account will receive an internal message via the Messaging section with instructions on how to download the Data Snapshots.  Auth Reps can download Data Snapshots in the application through the Admin section.  For more information on how to download Data Snapshots in the application, click HERE.  Auth Reps, users, and third party vendors can download Data Snapshots exported as separate files per customer through the secure CMD Portal.

ONLY Data Snapshots that are exported as separate files per selected customer can be downloaded via the secure CollaborateMD Portal.


Follow the instructions below to download a data snapshot from the CMD Portal:

  1. Go to https://portal.collaboratemd.com:8443/.

  2. On the login screen, enter the Username and Password received from the Messaging section.

  3. Once logged into the portal, click the My Backup Files link.


  1. This will open the Backup Archive tab.  Click the Download Now button.

  2. When the Save dialog window opens, select a location on your computer where you wish to save the file.

Once saved, locate the file and choose the application you wish to open with (e.g., Excel or Notepad.)
