Practice Fusion

Overview 

The Practice Fusion interface is a one-way (unidirectional) interface from Practice Fusion to CollaborateMD and only supports Professional Claims (CMS-1500). Through our continued partnership, the interface is jointly maintained, supported and enhanced as required.  CollaborateMD's Interface Tracking allow users with the proper permissions to monitor Superbill (charge) messages submitted by Practice Fusion to create claims within CollaborateMD.  Interface Tracking will show any error and/or warning messages associated with the Superbill message received from Practice Fusion.  Viewing these Superbill messages will help you identify and resolve issues such as superbills being created within Practice Fusion but not created within CollaborateMD.

How does the Interface work?

Practice Fusion notifies CollaborateMD when a Superbill is set to “Ready for biller” (see example).  After being notified, CollaborateMD retrieves the Superbill and uses the patient demographic information within the Superbill to determine if the patient already exists within CollaborateMD.  If the patient exists, CollaborateMD will perform a patient demographic update on the patient's record; else CollaborateMD creates a new patient record.  Next, CollaborateMD converts the superbill into a claim and then sends an acknowledgment back to Practice Fusion notifying them of the Superbill(s) status.  CollaborateMD's Interface Tracking can be used to check the status of your superbills/claims. 

If a claim is successfully created from the Superbill in CollaborateMD:

          An acknowledgment response message is generated with a value of “Processed” or "Warning". 

If a claim is not created from the Superbill in CollaborateMD:

          An acknowledgment response message is generated with a value of “Error”. 

Protected Fields

Practice Fusion and CollaborateMD share protected field information that cannot be overridden by a blank value contained within the Superbill sent over the interface

Below are a list of the shared protective fields: 
  • Patient Last Name
  • Patient First Name
  • Patient Date of Birth
  • Patient Address Line 1
  • Patient City
  • Patient State
  • Patient Zip-code 
Note: If a non-blank value is contained within the Superbill, the CollaborateMD's patient's record will be updates with the value.

Supported Fields - Practice Fusion Other Details

Practice Fusion sends the following information within the Superbill. Please note that any fields marked in RED TEXT below are sent by Practice Fusion but ignored by CollaborateMD.

1. Rendering Provider: The selected provider must first be added to the Provider section of CollaborateMD in order to successfully integrate with Practice Fusion. Once integrated, the Rendering Provider can be found by opening the claim and viewing the Claim tab. 
Rendering Provider NPI is not supported. The NPI used on claims will pull from the Rendering Provider entered in the Provider section of CollaborateMD
2. Billing Provider & Billing Provider NPI: The interface uses the Billing Provider based on the Rendering Provider in CollaborateMD. 
3. Other Provider: This field specifies which box the information below will appear on the Claim, if populated. 
4. Referring/Ordering/Supervising First Name, Last Name, NPI & Type: This information can be found by opening the claim and viewing the Claim tab. If not already added, this information will automatically be added to the Referring section. 
5. Place of Svc: This information can be found by opening the claim and going to the Charges tab; it is placed in the POS field.  
6. Seen At Facility: The selected facility must first be added to the Facility section of CollaborateMD in order to successfully integrate with Practice Fusion. Once integrated, the facility can be found by opening the claim and viewing the Claim tab. 
7. Date Range Start & Date Range EndThis information can be found by opening the claim and going to the Charges tab; it is placed in the From and To fields.
8. Prior Authorization Number: This information can be found by opening the claim and going to the Insurance tab; it is placed in the Authorization # field related to the primary insurance policy on record. 
9. Amount Paid: CollaborateMD is unable to use payment information from Practice Fusion due to the lack of specific information provided (e.g. Received Date, Check #, Source, etc).
10. Balance: CollaborateMD is unable to use payment information from Practice Fusion due to the lack of specific information provided. 
11. Notes / Comments: This information can be found by opening the claim and going to the Notes tab, or by opening the patient record in the Patient section and clicking on the Additional Info tab and Notes sub-tab.

Getting Started

Before you can begin using the CollaborateMD and Practice Fusion interface, you must complete the following tasks:

 Complete Integration Request within Practice Fusion
 While waiting to hear back from Practice Fusion, Sync your CollaborateMD Payers within Practice Fusion
 While waiting to hear back from Practice Fusion, configure your CPT and ICD Codes (optional, but strongly recommended)
